The Hidden Cost of Using Your CPA for Bookkeeping
Using your CPA for bookkeeping seems like a reasonable idea on the surface. They know your finances, they know your business, and if they are offering to help, why not take them up on it?
Here is why not.
William sat down recently with a husband and wife client in their 30s, a corporate professional and his wife who runs her own growing business. She had been managing the books herself on the desktop version of QuickBooks Pro, but as the business expanded she needed to move to the cloud version so more people could access it. Their CPA offered to help with the transition. And that offer sparked a conversation worth having with every small business owner.
The Rate Gap That Changes Everything
A QuickBooks Pro bookkeeper typically charges somewhere between $75 and $100 an hour. A CPA who is pricing their services correctly, the kind capable of delivering high quality tax returns, multi-year tax projections, and genuine strategic consulting, is typically charging $250 to $350 an hour.
When your CPA offers to handle bookkeeping, you have to ask yourself a straightforward question. If they are capable of $300 an hour work, why are they doing $75 an hour work? And whatever the answer is, what does it tell you about the quality of attention you are actually getting?
There are legitimate exceptions. A younger CPA building their practice may genuinely be trying to provide exceptional service and earn long term referrals. In that case the offer makes sense for both sides. But a mature, established practitioner stepping in to handle bookkeeping is either underutilized or pulling their focus away from the higher level work you are actually paying them for.
Why Specialization Beats Convenience
A dedicated bookkeeper who works across multiple businesses brings something a generalist simply cannot replicate. They see the same issues come up across different companies and industries. They catch small discrepancies before they become expensive problems. They close out your books consistently every single month because that is the only thing they do.
Using your CPA for bookkeeping pulls them away from the work that only they can provide. Tax strategy, projections, cleanup, and the consulting conversations that actually move your business forward. When a CPA is spending time on data entry and reconciliation, something else is not getting the attention it deserves.
The Bigger Hiring Lesson
This principle extends well beyond the CPA and bookkeeper conversation. Whenever you are assigning work or bringing someone on in your business, the right question is what you are actually trying to accomplish and who is genuinely best suited to do it.
High level expertise, focused execution, or something in between? Get that match right and the whole operation runs more efficiently. Get it wrong and you end up paying premium rates for work that could have been done better and cheaper by the right specialist.
